Notes and Attachments in the Jobber App

Overview

You and your team can run your day-to-day operations from anywhere with our iOS and Android mobile apps. Available on the Apple App Store and Google Play Store.

You can create internal notes and attachments in the Jobber App that you can then view online. Notes are handy for keeping track of details, saving attachments (like before and after photos), or scanned copies of paper forms.

Notes can be added to:

  • Clients
  • Requests
  • Quotes
  • Jobs (including visits)
  • Invoices

Notes are internal by default, however any saved note attachments (such as photos) can be made client-facing by attaching them to an email.

Add a note

Work items (such as requests, quotes, jobs, and invoices) have two tabs. One tab for an overview of that item and another for notes.

Notes can also be added to clients, however on a client’s page you’ll see three tabs instead of two. One for a client overview, one for a list of their work, and a tab for notes.

To add a new note, navigate to the item where you want to leave a note and tap the Notes tab to open your note history for that item. Then tap Add note or the camera icon. The camera icon will prompt you to add an image first, but both options allow you to add images and text**.**

From the New Note screen, enter the note in the section for Write a note to your team. This section will expand to fit your note if you write more than one line. 

If you enter phone numbers, email addresses, or URLs these can be interacted with when saved in an internal note. Once the note is saved, you can now tap these fields to call, email, or open a webpage. 

Note: Phone numbers must be entered in this format to display as a clickable link: xxx-xxx-xxxx or xxx xxx xxxx or 1-xxxxxxxxxx.

When adding a note, you have the option to attach files to the note. These might be images or any other files you want to associate with this work. Tap the + icon to attach a file to this note.

Images can be added from your device’s camera roll or taken in the moment. Make sure your device has given the Jobber App permission to access your photos.

Supported file types for attachments

Supported file types for attachments include:

  • .csv
  • .doc and .docx
  • .pdf
  • .txt
  • .ppt and pptx
  • .mp4
  • .jpeg
  • .png
  • .gif
  • .webp
  • .avif
  • audio files including: 
    • .aac, .mp3, and .wav

50 attachments can be added at a time. If you need to upload more attachments, multiple batches of 50 can be uploaded. Each attachment needs to have a max file size of 750 MB. Only the last 15 attachments will be visible in the Jobber app, however all notes and attachments will be visible in Jobber.com.

Markup images

Image markups are available on the Plus plan.

In visit notes you can use the image markup tool to add drawings, shapes, and text.

To markup an image:

  1. Open the Jobber app and navigate to the item where the image is attached.
  2. Tap Edit to enter edit mode.
  3. Tap the image you want to mark up.
  4. Select the pencil icon to open the markup screen.
  5. Use the markup tools to add drawings, shapes, or text to the image.
  6. Select Done to save your markup.
  7. Select Save to save your changes to the item.

You can also use a pinch gesture to zoom in on an image while marking it up.

Note: Markup is only available in edit mode. If you open an image from the view of a saved note or item without tapping Edit first, the pencil icon will not appear.

The markup toolbar includes the following tools:

  • Draw: Freehand drawing tool. Use your finger to draw lines and shapes directly on the image.
  • Shapes: Add predefined shapes such as rectangles, circles, and arrows to highlight areas of the image.
  • Text: Add text labels to the image.
  • Color: Change the color of your drawings, shapes, or text.
  • Undo: Remove the last markup action.

By default, new notes will be linked to items downstream in your workflow. For example, a note added on a client will be linked to that client’s requests, quotes, job, or invoices so that you can reference it on those items. If you do not wish for the note to be linked, de-select the boxes under Link note. If a note was pinned from Jobber.com, that will be preserved in the app so you’ll see the pinned note at the top.

Once a note is saved, it will appear under the Notes tab. Tap the attachments to view them full screen. If you have multiple image files saved, you can scroll through them in a gallery view.

Note: File types like .pdf or video files don’t appear in the gallery view, just saved image files. 

Mention teammates in notes

Available on the Plus plan.

On the Plus plan, you can @mention a teammate directly in a note to flag important information and notify them right away. When you tag someone, they receive a notification in the Jobber app and in their mentions feed, which is a personal view that shows only the notes where they’ve been tagged. This can be accessed by tapping on the notifications bell icon.

To mention a teammate in a note:

  1. Navigate to the client, request, quote, job, visit, or invoice where you’d like to leave the note.
  2. Tap the Notes tab, then tap Add note.
  3. In the note field, type @ followed by the teammate’s name.
  4. Tap the teammate from the suggestion list that appears.
  5. Finish writing your note, then tap Save.

A few things to keep in mind about @mentions:

  • You can only @mention teammates who have permission to access the work object where the note is saved. For example, a teammate without invoice access cannot be mentioned in an invoice note.
  • The mentions feed shows only notes where you’ve been tagged — it’s personal to each user. Non-admin users see only the mentions feed; admin users also have access to the full activity feed.
  • @mentions are available in both the Jobber app and on Jobber.com.

Edit a note

To edit an existing note, tap > on the note.

From the Edit note screen, you can add additional details in the Write a note to your team section or add additional images by tapping the + icon.

To preview an image or remove it as an attachment on this note, tap the image from the Edit note screen. A menu will appear from the bottom of the app with options for Preview image or remove image.

Delete a note

To delete an existing note, tap Edit from the note. From the More actions (…) icon, select Delete note. You’ll be prompted to confirm that you want to delete this note and the deletion will be permanent. Click Delete to go ahead with the deletion.

Add note attachments to an email

When emailing a quote or invoice to a client, you may want to add some attachments to your email. Files can be uploaded from your device, or you can add a file that was already saved on a note.

From the quote or invoice, tap Send, then select Send by email. In the email preview screen, there is a section for attachments. Tap the + icon to add an attachment.

There is an upload size limit of 10MB for email attachments, as many common email providers will only support file sizes up to 10MB. We have set our attachment limit at 10MB to make sure that everyone can view their attachments.

Select the check box(es) from the item attachment section to add that file as an email attachment. There are options to upload a file from your device, add a PDF version of the quote, or select from any notes and attachments added in the internal notes and attachments section on the quote. Once you’ve made your selections, select Save.

Quickly add images to a visit or assessment with the camera button

When you are viewing a visit or assessment in the Jobber app, a camera button appears in the bottom right corner of the screen in place of the quick create button. Tapping it opens your device’s camera so you can capture images directly from the visit or assessment.

To add images to a visit or assessment:

  1. Open the Jobber app and navigate to the visit or assessment.
  2. Tap the Camera button in the bottom right corner to open your device’s camera.
  3. Capture your images.
  4. Tap Done or Save when you are finished.

Jobber automatically creates a note on the visit or assessment and attaches all the captured images to it.

Note: The camera button is only available on visit and assessment pages. On all other pages in the app, the quick create button appears as usual.

Photos are saved to your device’s camera roll by default. To turn this off:

  1. Open the Jobber app and tap More from the bottom menu. 
  2. Select Preferences, then toggle off Save photos to device. Your photos remain attached to their notes in Jobber.

Create notes while offline

When your device goes offline, you will see a banner stating the time you went offline and to check your internet connection. 

Saving a text note or attachments while your device isn’t connected to the internet will bring up a message that says “Waiting to sync until online”. The note (including the attachment) saves locally to your device and will sync to the server once the internet connection returns and the Jobber app is open. Other team members won’t be able to see the note until it syncs, since it’s saved only on your device.

Note: If you log out, delete, force close, or update the Jobber app while the note is waiting to sync it will be lost.

Note permissions

From the browser version of your account, there is a custom permission setting for notes. This can be found by selecting the Gear Icon, then Manage Team, then the user you’d like to edit**.**

The Notes permission offers the following options:

  • View job notes only
  • View all notes
  • View and edit all
  • View, edit, and delete all

These permissions apply to all notes across Jobber, however certain notes can be hidden by turning off permissions for that features. For example, if a user’s permission for quotes is toggled to OFF, they won’t see quotes, including quote notes.
